The Payroll Officer provides timely and accurate delivery of payroll services, with a strong focus on continuous improvement of payroll processing and procedures. In addition to payroll responsibilities, the role supports a range of financial and administrative functions as required by the Financial Services business unit.

Position specific responsibilities:

  • Payroll processing - calculation and payment of weekly employee wages, monthly directors' fees, termination payments, processing of pay increases and calculation of back pays.
  • Understand and interpret industrial instruments as they relate to remuneration and benefits, and maintain awareness of internal and external changes impacting Port in respect to payroll.
  • Maintain, and update and audit employee records in the payroll system.
  • Participate in the compilation of Employee Payment Summaries at year end including the preparation, reconciliation, addition of FBT amounts and distribution to all employees.
  • Liaise with staff and management on payroll related queries.
  • Maintain all Payroll reporting including leave, sickness and overtime reports.
  • Reconcile payroll related GL accounts including clearing accounts.
  • Calculate annual leave and long service leave provisions/accruals.
  • Support the Financial Services team in financial administration including:
    • Master file changes of Accounts Payable and Accounts Receivable accounts
    • Reviewing payment commitment reports for supplier payments
    • Review of POTS shipping invoices, general invoices and receipting prior to posting
    • Debt collection and control services
    • Backup for key officer roles.
  • Contribute to our client strategic plans including the Statement of Corporate Intent, Corporate Plan and Port Vision 2050.
  • Ensure appropriate health and safety, environmental management, quality and information security practices are implemented for all works to comply with our client's policies and relevant legislation.
  • Comply with all relevant legislation, codes of practice and standards and ensure your team do the same.
  • Promote a Zero Harm culture and continual improvement in our Health and Safety management and performance.
  • Any other duties commensurate with level and accountabilities, or as directed by leadership.
Essential criteria
Qualifications/tickets/licences:

  • National Police Check.
  • Current Queensland C class Driver Licence.
Skills and experience:

  • Previous experience in processing a complex payroll with multiple industrial instruments.
  • A sound working knowledge of regulations and policies relating to payroll preparation.
  • Experience with accounting procedures, general financial administration and clerical procedures.
  • Experience in providing broad administrative support to a busy unit, with experience supporting a finance function.
  • Sound knowledge of and demonstrated experience in the operation of enterprise resource planning systems, including payroll/human resource systems.
  • Previous experience maintaining accurate electronic records management systems.
  • High level verbal and written communication skills coupled with a strong customer focus.
  • Process oriented with strong organisational and planning skills to effectively manage a busy and varied workload with often competing priorities.
  • Excellent attention to detail and accuracy in work.
  • Proven initiative, innovation and self-motivation to work independently, balanced by the ability to work as part of a small, busy team.
  • High level of confidentiality, diplomacy and sensitivity in dealing with confidential documents and information.
Software/systems skills:

  • Proficient in Microsoft Office suite with advanced Excel skills.
  • Knowledge of integrated financial management systems, in particular HR and payroll systems (e.g. TechOne, Oracle, SAP)
