AO3 Program Support Officer - Townsville 

The North Queensland Region includes Far North, Northwest, and Northern Queensland, with offices in Cairns, Cloncurry, and Townsville. It stretches from Australia’s northernmost tip (including nearby islands) west to Camooweal on the Northern Territory border, and south to Home Hill.

As a Program Support Officer, you will use a range of computer software and information management systems to provide high-level administrative and coordination support, contributing to the efficient and effective delivery of projects across the Northern area.
 

Key responsibilities:
  • Provide high-quality administrative and coordination support to assist in the delivery of a region-wide program of works. This includes coordinating meetings and workshops, preparing agendas, recording minutes and action items, maintaining schedules, and supporting clear communication across the program.

  • Maintain and manage program documentation, registers, trackers, reports and spreadsheets using Microsoft and other business applications to support progress tracking and reporting, ensuring information is accurate, current and well maintained.

  • Liaise with internal teams and external stakeholders to support project delivery, including managing enquiries, coordinating follow-up actions, and ensuring communication supports agreed outcomes and timelines.

  • Support adherence to organisational policies, procedures and workplace health and safety requirements through accurate record keeping, monitoring administrative processes and escalating issues when required.

  • Work collaboratively with team members to support a positive, productive work environment and contribute to improvements in administrative and coordination practices.

Mandatory qualifications and conditions:
  • Current ‘C’ class driver’s licence.
     

Requirements:

To be successful, you will demonstrate:

  • Strong proficiency in Microsoft Office and related business systems.

  • Experience providing administrative and coordination support in a project, program or operational environment.

  • Clear and professional written and verbal communication skills, with the ability to adjust communication style to suit different stakeholders.

  • Strong organisational skills, with the ability to anticipate requirements, manage changing priorities and maintain accurate documentation and records.

  • Ability to review information, identify potential risks or issues impacting project delivery, and take appropriate action in line with established processes.

  • Ability to manage multiple tasks and deliver high-quality work within agreed timeframes.

  • Well-developed interpersonal skills, with the ability to work effectively in a small team environment and build positive working relationships.
